Privacy notice

Updated 3 November 2026

Who we are

Proconnecy Limited is responsible for the personal information described in this notice. Our company number is 15569931 and our registered office is 235 High Road, London, England, N11 1PZ.

For privacy questions or requests about your information, email info@proconnecy.com or write to our registered office. Please put “Privacy request” in the subject line.

What this notice covers

This notice covers our website, staffing enquiries, callback requests, initial applications for hospitality work, personalised welcome links and private shift-hours access. Further information is provided where recruitment, placement, payroll or employment processes require different information or uses.

Information you give us

When you request staff, we collect your name and business contact details, venue details, staffing roles, numbers of people, dates and times, and any requirements you provide. A request does not confirm staff availability or a booking.

When you ask for a callback, we collect your name, venue or business, phone number, the reason for the call, your preferred time and an email address if you provide one. A preferred time is a request, not a confirmed appointment.

When you apply for hospitality work, we collect your name, email address, phone number, London area, roles of interest, experience and availability. This initial form does not ask for a passport, bank details or right-to-work documents. Please do not include unnecessary health information or other sensitive details in your message. An application does not approve you to work or guarantee a shift.

Required fields are identified on the relevant form. Without the required contact and request details, we cannot process that form. You can contact us directly if you need help. Additional requirements on the staffing form and an email address on the callback form are optional.

Private portal information

An authorised venue account can access its assigned venue’s shift information and, when enabled, submit the venue’s account of hours worked. Staff use a personal link to access a particular shift and, when enabled, submit their own hours. These submissions remain separate and any differences can be reviewed by the team. We keep the information needed to record the submission, its status and any review.

A personal staff link is private: anyone holding the complete link may be able to view its limited shift information until the link is invalidated. Please do not forward it. A personalised welcome link is not a staff link or an account sign-in.

Personalised welcome links

An invitation link can identify the venue we intended to welcome and connect a subsequent enquiry with that introduction. If recognition and measurement are enabled, we may record the link reference, an unverified visit event and its time. Possession or use of a forwarded link does not establish a visitor’s identity or give access to private CRM records.

The website can remember the welcome reference in the same browser tab for up to 12 hours, so you can return to your welcome page while browsing. It stores the reference and expiry, not your private correspondence or CRM notes. “Forget this welcome” removes this reminder. This reminder is limited to that tab’s session and its recorded 12-hour expiry.

Technical information and browser storage

Our hosting, security and account services process technical information needed to deliver and protect the website, such as IP addresses, browser and request information, access events and security logs. Sign-in uses browser storage to maintain the session. The site may also keep a reference needed to check the outcome of an uncertain form or hours action.

The website uses Google Fonts. Loading the font service sends technical request information, including your IP address, to that provider. Our logo, photographs and reference PDF are served with the website. Plain links to social-media sites take you to those services; we do not embed their advertising widgets in this website release. Any future advertising or non-essential analytics requiring consent will be explained and controlled separately before activation.

Why we use your information

We use enquiry and callback information to understand your request, respond, agree next steps and manage the relevant business relationship. We rely on our legitimate interests in providing hospitality staffing services and responding to people who contact us, balanced against their rights and expectations.

We use initial application information to review interest in hospitality roles and communicate with applicants. Our basis is our legitimate interests in recruitment and, where applicable, taking steps at your request before entering a contract with you. Further work checks and employment records are covered by the arrangements relevant to that stage.

We use account, shift and hours information to provide controlled access, administer the staffing service, record hours and review differences. The applicable basis is legitimate interests in administering the service, steps relating to a contract with you where applicable, or a specific legal obligation where one applies. A contract with your employer is not automatically a contract with you.

We use necessary security and access information to operate and protect the service. If we introduce an optional activity that relies on consent, we will explain the choice and how to withdraw consent. Refusing an optional marketing choice does not prevent you from making an enquiry.

Who receives information

Access is limited to authorised people who need the information for their work. We use Cloudflare for website hosting, security and callback storage, Supabase for website data and account services, and Hostinger for business email. Google receives technical requests when its external fonts load. Where needed, relevant information may also be provided to professional advisers or authorities for a lawful purpose.

Initial application details are not automatically distributed to every venue. If an introduction or placement requires sharing candidate information with a hirer, the relevant recruitment process and privacy information apply. We do not sell website contact lists.

Some service providers may process or support information outside the UK. Where a transfer takes place, the applicable legal protection must be in place, such as an adequacy decision or approved contractual safeguards. Contact info@proconnecy.com for information about the safeguards relevant to your information and how to obtain a copy.

Automated decisions

Submitting a website request or application does not automatically approve employment, confirm a booking, guarantee staff availability or make a decision with a similar significant effect. The team reviews requests and applications. A preferred callback time is not automatically booked. Any materially different use of automated decision-making requires further information before it is introduced.

How long we keep information

We keep information for the purpose for which it is needed and review it when that purpose or relationship ends. The period depends on whether a request remains active, whether recruitment or a placement is continuing, the need to address a query or dispute, and any applicable record-keeping duty. Closed enquiries and unsuccessful initial applications should not be kept indefinitely simply because they were received through the website.

Security information is kept according to the period needed to protect the service and investigate incidents, taking account of provider arrangements. Where we need a minimal record of an objection to marketing, we retain it to avoid contacting the person again by mistake. Information in controlled backups remains subject to the applicable backup cycle. Ask info@proconnecy.com about the retention criteria or period applying to your information.

Your choices and rights

Depending on the circumstances, you can request access, correction, deletion, restriction or a portable copy of your personal information. You can object to processing based on legitimate interests and object to direct marketing at any time. Where consent is the basis, you can withdraw it without affecting the lawfulness of earlier processing. We may ask for proportionate information to verify your identity before responding.

Email info@proconnecy.com to make a request. You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint. You do not have to contact us first.

Changes

We update this notice when the service or use of information changes and show the latest update date. Where a change materially affects how your information is used, we provide appropriate further information.
